It was crucial for us that the solution was intuitive and free of technical complexity—and it is. Everyone can use Virkplan. We use the system both to manage our many food concepts and to ensure professional, consistent onboarding of new employees.

With a large number of projects and more than 150 employees across Scandinavia working on new food concepts, Geia Food needed a system to manage their many projects and tasks. At the same time, they were looking for a simple project management tool and a Power BI solution that could provide a clear overview of the business.They found all of this with Virkplan.
Marianne Friis Mejer, Group Purchase Project Manager at Geia Food, explains:
“We had previously used Virkplan’s system when it was marketed under the name EffectLauncher and operated by another vendor, and we encountered some limitations. As a result, we chose to move away from it. However, when Virkplan acquired the system, it was further developed, and the concerns we had were no longer present.
At the same time, we were promised a smooth process for becoming a customer again – and that promise was fulfilled. The implementation went without issues, and we were able to reuse our existing templates, which made the transition seamless. We trained eight super users from our different country offices, and they now manage Virkplan locally. Virkplan is very responsive to change requests, so we have actually ended up with a system that fits us 100%.”
Marianne Friis Mejer continues:
“It was important to us that the solution was intuitive and free from excessive technical terminology – and it is. Everyone can use Virkplan, including people without IT knowledge or project management experience.
We use the system to manage our many food concepts, which we launch every year. Project routes with predefined tasks guide the processes and ensure that all tasks are completed, which gives us a strong sense of security.
At the same time, we use Virkplan for onboarding new employees, where 15–20 people are typically involved. With the system, we can deliver a professional and consistent onboarding experience every time, which is very important to us.”
Geia Food optimizes logistics solutions, develops packaging designs, and ensures that retailers’ specific requirements are met. Virkplan is also used to support these activities.
Individual project routes are created for each process depending on the specific retail chain, making daily work easier and more structured for employees.
Business Intelligence is a key component of Virkplan through its integrated Power BI solution. Marianne Friis Mejer explains:
“Our business is complex, and with departments in several countries, we need a clear overview of our projects – and we get that with Virkplan’s solution. With Power BI, we gain insight into the volume of projects, distribution across categories, peak periods, and the ability to navigate and allocate our employee resources. This is a major advantage of the system.”
Geia Food acts as the link between food producers around the world and retailers and chains in Scandinavia. With local offices in Denmark, Norway, Sweden, and Finland, the company stays close to its customers and can develop food concepts based on customer needs and preferences. They operate across nine product categories and are particularly strong in cheese, poultry, and ice cream.
